New Attractive Asset Request
This guide serves to explain which fields need data and the expected data input. Use the numbers in each section to correspond to the numbers in the provided screenshots.
NOTE: Keep data short but understandable. You can export all asset data into a department inventory report. If you want to provide a detailed explanation about something unique to the asset, use the Notes box. You can access this field after submitting the request once the page refreshes.

General Data

1. Description
Create a concise description of the device. Examples include MacBook Pro 14in 2024 or Wonka’s Office Computer.
2. Serial
All manufactured devices have a serial number. The computer serial/service tag is located on the delivery package and the packing slip.
Vendor-specific instructions showing how to find the serial number/service tag:
- Dell: Find your Service Tag or Serial Number | Dell US
- Apple: Find your Mac model name and serial number – Apple Support
- Scroll down to “Product or Packaging” section

- Select “Find on Printed Labels” box
- Microsoft: Find the serial number for your Surface device and accessories or Microsoft accessories | Microsoft Support
- Select “On the device”
Packing slips should also show the serial/service tag
3. Category
Asset Management requires proper categorization. Asset tracking is determined by device categorization.
There are (2) categories that you will use for computing devices.
Select the following category if the device falls under these groups:

4. Subcategory
While this field is not required by Asset Management, it is useful for narrowing down the device type. The following is a guide (not exhaustive) for determining the correct category/subcategory type using the model as reference:

5. Manufacturer
The delivery package and/or packing slip will have the manufacturer listed.
6. Model
The delivery package and/or the packing slip will have the model information listed. Use the (#4) subcategory explanation as a reference.
7. Custom Field
Do not use this field. CLAS IT uses this field for identifying primary assets.
Primary assets are assigned to faculty and TEAMS staff. There should be only (1) primary asset assigned to a user.
During the CLAS IT computer upgrade cycle, primary assets are identified and funding is allocated using that report.
8. Flag
HARD DRIVE: All computing devices have hard drives. This should always be selected.
OFFSITE: The device is used exclusively off-campus, not just taken off-campus periodically. If a user has a remote desktop at their home, you need to select this flag.
ENCRYPTED: CLAS IT enables device encryption, specifically for mobile devices. If you select the OFFSITE flag, you also need to select the ENCRYPTION flag.
Location and User Data

1. Location (Building/Room Number)
The building and room number where the computer is (or will be) located.
The myAssets portal only accepts STARS data, so you are unable to provide a non-UF location when requesting a decal. Offsite location address is added when the asset is certified.
2. User
The user assigned to the device, or the user who will be responsible for certifying the device.
Research and grad lab machines should be assigned to the corresponding PI.
General use computers should be assigned to a department admin that is responsible for inventory management.
Financial Data

1. DEPTID
Provide the department ID that was used in the chartfield during purchase.
It is recommended, not required, to fill out the remaining fields – FUND, PROGRAM, PROJECT, etc. if you have that information available.
2. PO
This can be found in the myUFL Market portal by searching recent orders or on the packing slip.
3. ACQ DATE
This is the date of purchase and can be found either in myUFL Market portal by searching past orders or on the packing slip.
The myAssets portal automatically fills in the current date. Please make sure to change this value.
4. ACQ COST
This can be found in myUFL Market portal by searching by PO # or on the packing slip.
Technical Data
CLAS IT provides the necessary data to complete the fields after the device is setup. Please check with the CLAS IT tech for correct information.

1. MAC ADDRESS
A device-specific ID that is traceable on the UF network.
2. MACHINE NAME
CLAS IT creates a device name during the setup process.
This is important for remote access and device management.
3. WARRANTY END
The vendor no longer provides device coverage after this date.
Form Submission
Once all the above data has been input, click the green Save button at the top of the form. The decal number should be present once the page refreshes. Make sure to note the decal number so you can provide it in the computer setup ticket.
